What is the best way for a youth sports coach to track player attendance?
The best method is one event-based roster log that records every practice or team event, gives each player a clear status, and shows the recent record before lineup decisions. For youth soccer, keep practice attendance separate from match availability, treat late as different from absent, and use the record to plan support rather than label a player.
The coaching problem
Attendance is useful when it changes a soccer decision.
A Wednesday practice can matter differently depending on what the team worked on. Consider a U11 9v9 team preparing for Saturday: two defenders missed the session on build-out shape, while one midfielder arrived late after the first activity. A raw “three players missed practice” note hides the part the coach needs.
The useful diagnosis is role readiness, not character. The defenders may need the restart cue reviewed before kickoff. The late midfielder may have attended enough to stay in the plan, but may need a slower first shift or a quick warmup catch-up. Attendance gives the coach a prompt. It does not make the lineup decision for them.
Log the event
Take roll call without rebuilding a spreadsheet.
Open Attendance, choose Log Event, and record a Practice, Scrimmage, or Other team event. Add the date, an optional title, and notes. Pitch Planner opens the roster immediately so the attendance record stays attached to the event that produced it.

Season scheduling
Set the practice schedule once.
If your team trains on the same days each week, Schedule Season creates recurring attendance events across a date range. Choose any combination of Monday through Sunday, set the start and end dates, then select Practice, Scrimmage, or Other.
Pitch Planner previews how many events will be created, skips dates that already have the same event type, and respects the attendance-event limit for the team’s plan. That gives the coach a chance to catch a schedule mistake before the season fills the log.
Review the record
See attendance by event, player, and time window.
The attendance dashboard organizes events into This Week, Future, and Past. Search by event title, team name, or event type. Filter by team or Practice, Scrimmage, and Other, then sort by newest, oldest, best attendance, or worst attendance.
For player summaries, use the 7-day, 14-day, or 30-day view. The attendance rate treats Present and Late as attended: (Present + Late) ÷ Total attendance records. The point is not to make a player a percentage. The point is to see whether a recent attendance trend needs a conversation, a role adjustment, or no action at all.

Match-day context
Bring recent attendance into lineup preparation.
When you open match setup, Pitch Planner loads recent attendance history for the team. Color-coded indicators help you compare each player’s recent record beside the players you are selecting: green for 100% attendance, yellow for 50% to 99%, and red for below 50%.
The setup view checks the most recent 7 days first. If there is no attendance data in that window, it falls back to the previous 14 days. It can also note when a selected player missed the last practice or attended fewer than 60% of recent events. These are prompts for a coach, not blocks on the lineup.
When a match starts for the first time, Pitch Planner automatically creates match attendance records for the players included in that match roster.

Attendance is part of the authenticated Team Manager app. Coaches and authorized team managers can manage the record for their teams. Parents do not need app accounts and do not get access to attendance records.

Should attendance decide the lineup?
Attendance should inform a lineup decision, not replace it. If a player missed the practice where you taught the match role, review the cue and choose the support that makes the role safe and clear. If the absence is isolated and the player is ready, it may require no lineup change.
Does a late arrival count as attended?
Pitch Planner counts Present and Late as attended when calculating the attendance rate, but Late remains its own status. That lets a coach see the difference between a player who completed the session and a player who missed the opening activity.
Can parents mark attendance themselves?
No. Attendance is managed inside the authenticated Team Manager app by coaches and authorized team managers. Parents do not have attendance dashboards or self-check-in accounts.
What should a coach do after spotting a low recent rate?
Start with the context. If the player missed a role-specific practice, review that cue before the match. If the same issue returns, ask about schedule or transportation. If several players show the same drop, inspect the team schedule or communication before treating it as an individual problem.

At the next practice, log attendance before the first activity, mark any late arrival separately, and write one sentence beside the event: “What does this group need to be ready for Saturday?”
