Pitch Planner Privacy Policy

1. Overview
WhiteBoston LLC, doing business as Pitch Planner ("Pitch Planner," "we," "us," or "our"), is committed to protecting your privacy. This policy explains what information we collect, how we use it, and your rights regarding your data. By using Pitch Planner, you agree to this policy.
2. Information We Collect
We collect information you provide directly:
- Your name (optional)
- Email address
- Answers you provide in a funnel quiz, including team count, playing-time tracking method, game-day problem, and the help you select
- Billing contact information and the paid plan and billing interval you select
- Tournament, league, and match data you create
We also collect technical data automatically when you use the service:
- IP address
- Browser type and version
- Operating system
- Pages visited and time of access
- Advertising attribution information, such as UTM parameters, a Meta click identifier, the referring or landing-page URL, and checkout event identifiers
Cloudflare processes network and device data for security monitoring and service reliability. We may associate checkout attribution information with a paid purchase for fulfillment, campaign measurement, fraud prevention, deduplication, troubleshooting, and customer support as described below.
3. Cookies and Local Storage
Pitch Planner uses cookies and browser local storage to keep you logged in and maintain your session. These are set by Supabase, our authentication provider, and are necessary for the service to work.
With your permission, PostHog uses a first-party identifier shared between pitch-planner.app and dash.pitch-planner.app to connect marketing-page and signup activity. This helps us measure whether campaigns lead to completed setup and useful product activity. Session replay is disabled.
PostHog, Ahrefs Web Analytics, Google Ads measurement, and the Meta Pixel remain off unless you accept analytics cookies. Your choice is shared between pitch-planner.app and dash.pitch-planner.app so you are not asked again when moving between the marketing site and app. You can accept, reject, or revisit your choice through Cookie settings. Pitch Planner also respects supported browser Do Not Track signals.
Necessary authentication and security storage remains active because it is required to provide the service. Disabling all cookies in your browser may prevent you from logging in.
4. Third-Party Services
We use the following third-party services to operate Pitch Planner:
- Supabase (supabase.com) — authentication and database. Your account and tournament data are stored on Supabase servers in the United States.
- Cloudflare (cloudflare.com) — web hosting and content delivery. Cloudflare processes network requests and logs technical data as part of normal operations.
- Ahrefs Web Analytics (ahrefs.com) — aggregate website performance and search reporting. Ahrefs is not used for advertising or cross-site behavioral profiles.
- PostHog (posthog.com) — first-party product analytics for marketing-page views, signup calls to action, account setup, feature usage, and subscription conversion. We disable session replay and do not send names, email addresses, team names, player names, or free-form coaching content.
- Google Ads (google.com) — advertising measurement used to understand whether Google advertising leads to visits and conversions. The Google tag loads only after analytics-cookie consent and is not used with team, roster, match, or player content.
- Sentry (sentry.io) — application error monitoring used to diagnose crashes and technical failures. Error reports may include the affected page, browser and device details, timestamps, application version, diagnostic stack traces, and a user or account identifier when needed to connect an error to a support request. We configure error reporting to avoid team, roster, player, match, and payment-card content.
- Meta Platforms, Inc. (facebook.com) — Meta Pixel on public marketing pages and the Meta Conversions API for confirmed promotional purchases, used to measure advertising performance and website actions. Meta does not receive payment-card details or team, roster, match, or player data from Pitch Planner.
- Stripe, Inc. (stripe.com) — payment processing, recurring subscription billing, invoices, payment-method updates, fraud prevention, and customer billing support.
Payments and subscriptions. We use Stripe to process payments and manage subscriptions. When you purchase a paid plan, update payment information, or manage your subscription, Stripe may collect and process your name, email address, billing address, payment-method information, payment and transaction history, subscription status, invoice information, device and technical information, and fraud-prevention or security signals. We receive limited billing-related information from Stripe, such as Stripe customer and subscription identifiers, selected plan and billing interval, subscription status, billing-period dates, and payment-status information. We do not store complete payment-card numbers or security codes on our systems.
We use billing information to provide paid plans, process and administer payments, prevent fraud, respond to billing inquiries, maintain our records, and comply with legal obligations. Stripe processes personal data under its own privacy policy and terms.
We use a lightweight internal contact-click tracker to understand when visitors click phone, text message, or email links on our website. This tracker records the type of contact link clicked, the page where the click occurred, the referring page when available, basic device screen width, and a short link label. It does not record pageviews, browsing sessions, form submissions, message contents, or information typed into forms. The tracker respects browser Do Not Track signals where available.
After you accept analytics cookies, PostHog records public marketing-page views and clicks that lead to account signup, along with allowlisted campaign parameters, the originating page, selected product area, and selected plan when available. Its first-party identifier is shared with the dashboard so anonymous marketing activity can be connected to later signup and activation. The implementation respects browser Do Not Track signals and does not record authenticated screen content or session replays.
On public marketing pages, the Meta Pixel records page views. On paid funnel pages, it also records actions such as quiz completion, offer viewing, and checkout initiation so we can measure advertising campaigns. It may use cookies or similar online identifiers. The implementation respects browser Do Not Track signals where available and does not send team, roster, match, or player data. Meta may process the resulting information under its Privacy Policy.
After Stripe confirms a paid promotional purchase, we may send Meta a server-side Purchase event through the Meta Conversions API. This event may include a cryptographically hashed version of the purchaser's email address, purchase value and currency, selected plan and billing interval, the relevant marketing-page URL, a Meta click identifier when available, and an event identifier used to prevent duplicate reporting. We do not send Meta complete payment-card details, security codes, or team, roster, match, or player information.
We may retain UTM parameters, a Meta click identifier, the landing-page URL, checkout and event identifiers, and the selected plan and billing interval with a paid checkout record. We use this information for account fulfillment, attribution, fraud prevention, deduplication, troubleshooting, and customer support.
These providers have their own privacy policies. We use them to provide the service, maintain security, manage billing, and meet legal obligations.
5. How We Use Your Information
- To create and manage your account
- To run your tournaments, leagues, and matches
- To save a personalized plan and, when you opt in, send occasional coaching tips and offers
- To send important account and service notices
- To improve the platform and fix issues
- To measure promotional campaigns and attribute confirmed purchases
We do not sell your personal data. The Meta Pixel is used on public marketing pages and is not used in the authenticated dashboard or with team, roster, match, or player data.
6. Data Security
We use industry-standard security measures including encrypted connections (HTTPS) and Supabase row-level security to protect your data. No system is perfectly secure. We recommend using a strong, unique password and keeping it private.
In the event of a data breach that affects your personal information, we will notify you by email as required by applicable law.
7. Data Retention
We retain your account data for as long as your account is active. Tournament data may be archived or deleted after 30 to 60 days of inactivity as described in our Terms of Use.
Billing and transaction records may be retained for as long as reasonably necessary to meet tax, accounting, fraud-prevention, dispute-resolution, security, and legal obligations.
Promotional checkout and attribution records may be retained for as long as reasonably necessary for fulfillment, campaign measurement, fraud prevention, deduplication, troubleshooting, dispute resolution, and legal compliance.
To delete your account, email us at [email protected]. We will remove or deidentify associated account data promptly, except for information we need to retain for the purposes described above or as required by law.
8. International Data Transfers and U.S. Paid Subscriptions
Pitch Planner is operated from the United States, and our service providers process information in the United States. If you use the Service from outside the United States, your information will be transferred to and processed in the United States.
Free accounts may be available outside the United States. Paid subscriptions and free trials are available only to customers located in the United States with a U.S. billing address. We may reject or cancel subscriptions purchased using inaccurate location or billing information.
9. Your Rights
Depending on where you live, you may have the following rights regarding your personal data:
- Access — request a copy of the data we hold about you
- Correction — ask us to correct inaccurate information
- Deletion — request that we delete your data
- Portability — request your data in a portable format
- Objection — object to how we process your data
Depending on where you live, you may have additional privacy rights, including the right to know what data we collect and the right to opt out of any sale of personal information. We do not sell personal information.

10. Children's Privacy
Pitch Planner is not directed at children under 13. We do not knowingly collect personal information from anyone under 13. If you believe a child under 13 has provided us with personal information, please contact us at [email protected] and we will delete it promptly.
11. Policy Updates
We may update this policy from time to time. We will notify you of significant changes by email. Continued use of Pitch Planner after changes take effect means you accept the updated policy.
